HIRE TERMS
We kindly ask that you review our Hire Terms and Conditions before your event.
By confirming your booking and making payment, you automatically agree to these terms and conditions.
By paying the deposit, you also acknowledge that should any hired equipment be lost or damaged in any way, you will be liable for its repair or replacement.
1. Booking Confirmation & Payment
A 50% non-refundable deposit is required to secure your booking.
The balance must be paid 48hrs before the event.
Bookings not paid in full by this date may be released to other clients.
2. On-Site Support & Travel Requirements (for 6m Screens and Larger)
For all hires involving 6m screens or larger, on-site technical support is mandatory to ensure safe setup, operation, and pack-down.

7.6m screen: includes 2 on-site operators

9m and 11m screens: include 3 on-site operators
If the event venue is located more than 150 km from our warehouse, an overnight accommodation fee may apply to ensure a safe working environment for our staff. Clients must provide a safe, accessible environment for both the equipment and operators throughout the hire period.
3. Equipment Provided
Scenima Outdoor Movie Hire provides the following equipment:

Projector with HDMI and USB ports (HDMI, USB, and aux cables included)

Speaker (aux cable included)
Please Note:
The client must provide their own device (laptop or TV box recommended) for streaming or playback.
We do not supply DVD players, and USB drives or mobile phones are not recommended due to connectivity limitations.
4. Delivery, Set-Up & Collection
Equipment will be delivered to the address provided by the client.
Our team will arrive approximately 3 to 4 hours before the event for setup (setup time: ±60 minutes). The setup area must be clear and accessible from the parking area and within 5 meters of a power source.
The operator will pack up immediately after the screening or return for collection after the event, depending on your booking.
5. Power & Environment Requirements

A power outlet or extension cord must be available within 5 meters of the setup area.

Please ensure pets are kept away from the setup area.

Daytime events require a fully shaded area for optimal screen visibility.
6. Rain, Wind & Weather Conditions
Outdoor cinema events are weather-dependent.
If rain or strong wind is expected, clients must notify us at least 12 hours before setup to reschedule the event.
If the client chooses to proceed despite adverse weather, Scenima will not be held liable for any damage or interruption caused by weather conditions.
If it starts raining during your event (without on-site support):

Immediately turn off all electrical equipment (projector, speaker, etc.).

Unplug devices from the power source.

Deflate the screen partially to prevent strain from wind or water accumulation.

Cover all equipment with dry towels or plastic covers if available.
Failure to follow these precautions may result in damage charges.
7. Technical Support
On-site support is available as an optional add-on for smaller setups.
For screens 6m and larger, on-site support is mandatory and included in the hire cost.
Our team will demonstrate equipment operation before leaving.
Assistance during the event is available via WhatsApp at 068 033 2682.
Additional call-outs will incur a call-out fee.
8. Liability & Indemnity
Scenima Outdoor Movie Hire is not responsible for any injuries, losses, or damages to persons or property during use of the equipment.
The client agrees to indemnify Scenima from all claims or liabilities arising from misuse, negligence, or unsafe operating conditions.
Clients must ensure that children and guests remain clear of electrical and inflatable equipment at all times.
9. Late Return Fees
If equipment is not available for collection at the agreed time, a late return fee will be charged per day until all items are returned.
10. Cancellation Policy

4+ weeks before event: 50% of total hire fee retained

2 weeks or less: 80% retained
-
Less than 24 hours: 100% retained
11. Communication & Access
If you need to provide access codes or specific directions, please contact us via WhatsApp at 068 033 2682 before setup day.
12. Force Majeure
Neither party shall be held liable for delays or non-performance due to events beyond their control, including but not limited to extreme weather, equipment failure, power outages, or transport disruptions.
13. Governing Law
This Rental Agreement is governed by the laws of the Republic of South Africa.
Any disputes will be subject to the jurisdiction of South African courts.

These terms and conditions replace all previous versions and apply to bookings made from this date onward.
